Project Administrator
Seeking a highly motivated, experienced, and energetic self-starter with a background in accounting or bookkeeping. The Project Administrator will handle fabrication/construction process and act as a liaison between our vendors and the client. Candidate will be detail-oriented, have a high level of accuracy when it comes to numbers, and be proficient in MS Word and Excel. Candidate must have a minimum of 2-3 years of professional experience. The Project Administrator position is located in St. Petersburg, Florida.
KNOWLEDGE/SKILLS AND ABILITIES:

- Excellent written and verbal communication skills with a strong grasp of English grammar are a must.
- Detail-oriented and organized. Fluency in additional language(s) a plus.
- Possess articulate, precise phone voice and have presentation / social skills to interact with vendors, management and clients.
- Strong work ethic.
- A heightened sense of urgency and a passion for exceptional customer service.
- Strong leadership and project management skills.
- Computer literate; proficient in MS Office suite. Knowledge of MS Project a plus.
- Ability to sort through raw data to produce a matrix.
- Is able to work well either alone or as part of a team; must be a team player.
- Works well under pressure, willingness to meet tight deadlines.
- Multi-tasker who is able to adjust to always changing priorities.
RESPONSIBILITIES:
- Create and maintain action item lists and project schedules.
- Work closely with senior management to issue contracts, purchase orders, and coordinate payment to vendors.
- Coordinate team member travel to job sites, fabrication facilities and client meetings based on project schedules.
- Support onsite teams during installation.
- Maintain weekly progress reports on fabrication.
- Issue customer invoices and follow up on payments as needed.
- Perform cost tracking to budgets.
- Coordinate design reviews and meetings, including presentation materials.
- Ensure milestone deadlines are met.
- Communicate and collaborate with our engineering department.
EDUCATION REQUIREMENT:
An Associate’s or Bachelor’s Degree in Accounting or Business Administration is preferred. If this education is not available, the equivalent in professional experience is needed.
